Booking and medical information you provide via our booking system (Timely), including consultation forms, consent forms, and treatment notes.

Payment information (securely processed through our booking or payment partners - we do not store full card details).

Email sign-ups and purchase information collected via Shopify or our newsletter sign-up forms.

Images or videos only when you provide explicit consent for treatment documentation or marketing purposes.

Technical data such as cookies, IP address, and browser information to help improve our website experience.

3. How We Use Your Information

Your data is used to:

Manage your bookings and deliver safe, professional treatments.

Communicate appointment details, aftercare, and relevant updates.

Send marketing emails or newsletters (only with your consent).

Improve our website and client experience through anonymous analytics. We will never sell or share your personal data for third-party marketing.

4. Data Storage and Protection

We store your data securely using encrypted systems including Timely and Shopify, both of which are GDPR-compliant.


Medical and consultation records are kept confidential and accessible only to authorised personnel.

5. Data Retention

In accordance with professional and insurance requirements, treatment and consultation records are retained for 7 years (or longer for minors). Non-medical data, such as marketing subscriptions, is deleted when you unsubscribe or request removal.

Bookings, cancellations, rescheduling and refunds

Please ensure that you read this policy in full before making an appointment. By choosing to book with Ayimaa Aesthetics, you agree to comply with all of our terms, conditions, and policies.

Bookings

All appointments are booked on a first-come, first-served basis.

To secure an appointment, a booking fee/deposit is required:
a. All treatments require a £70 booking fee, redeemable against the final treatment price.
b. Treatments with a total value of £200 or more require a 50% booking fee.
c. All consultations are £65.00 and must be paid in full at the time of booking. Consultation fees are redeemable against the total cost of treatment when booked within one month of the consultation date.
d. Treatment courses must be paid for in full at the time of purchase and are non-refundable. Treatments must be redeemed within six months of purchase. It is the patient’s responsibility to schedule and attend each session.

A booking will not be held without a paid booking fee.

Bookings are not confirmed until the fee has been received and a confirmation email is sent via our booking system.

Booking fees are non-refundable under all circumstances.

Consultations and Suitability

If, following your consultation, it is determined that you are unsuitable for treatment, the consultation fee will not be refunded. If you have paid for a treatment in full, the amount will be refunded minus the booking fee/deposit.

Cancellations and Rescheduling

Cancellations made with less than 48 hours’ notice will result in the loss of your full booking fee.

Cancellations made more than 48 hours in advance may be rescheduled once free of charge, provided the new appointment takes place within one month of the original date.

Additional reschedules beyond one change will result in the forfeiture of your booking fee. If you have paid the full treatment amount in advance, the balance (minus the booking fee) will be refunded to you.

No-shows without communication will result in an automatic ban from future bookings at Ayimaa Aesthetics.

Refunds

Refund requests due to reasons such as failure to follow pre- or post-treatment advice, change of mind, or disagreement with consultation advice will not be fulfilled.
Refunds are only considered in exceptional circumstances at the discretion of the Director of Ayimaa Aesthetics.

In such cases, a partial refund may be offered to mitigate financial loss to the business. This will be evaluated on a case-by-case basis and is not guaranteed.

Discounted and Event Treatments

Treatments purchased at a discounted rate, during content days, or at Ayimaa Aesthetics events are non-refundable.

Abusive Behaviour

If your appointment is cancelled due to abusive, aggressive, or inappropriate behaviour, you will not be entitled to any refund, including deposits, pre-payments, or full treatment costs.

Lateness

Please arrive on time for your appointment to avoid disruption to other clients’ treatments.

If you are running late, please text Ayimaa Aesthetics on 07916240134 or email ayimaa.aesthetics@gmail.com as soon as possible.

We offer a 15-minute grace period, after which your appointment may be cancelled. While we’ll always do our best to accommodate you, we cannot extend your appointment time if it delays the next client.

Please also avoid arriving too early, as we may be mid-treatment and unable to answer the door.

Appointments missed due to lateness will result in the loss of your booking fee.

General Appointment Guidance

Consultation Forms and Pre-Treatment Requirements

In the lead-up to your appointment, you’ll receive pre-treatment consultation forms. It is your responsibility to complete these forms fully and promptly to ensure:
a) Any relevant pre-treatment advice can be provided, and
b) We can confirm your medical suitability for your chosen treatment.

Failure to complete your forms at least one week before your appointment may result in your appointment being cancelled and your booking fee forfeited.

Please provide accurate and complete medical information. Ayimaa Aesthetics cannot be held liable for any adverse outcomes resulting from withheld information or failure to follow pre- or post-treatment guidance.

For all treatments, you must avoid excessive alcohol 48 hours before and after your appointment. If you have consumed alcohol, please inform us, as it may not be safe to proceed with your treatment.

Arrival and Access Information

Ayimaa Aesthetics operates from a private studio with no public doorbell.
Access details, including entry instructions, will be provided via email. Please check this information before your appointment to ensure a smooth arrival.

Complaints and Queries

Visiting the Clinic

Clinic Etiquette and Safety

Ayimaa Aesthetics cannot accept responsibility for children in the clinic. For health and safety reasons, we politely request that you do not bring children to your appointment.
We also ask that you do not bring guests unless this has been agreed in advance.

Please arrive makeup-free where possible. If makeup must be worn, please ensure it is minimal to allow for a smooth treatment process.

Our clinic operates on a by-appointment basis, and sometimes treatments may take longer than planned to ensure comprehensive care. For this reason, please avoid making plans within one hour post-treatment. If the clinic runs behind schedule, you will not be entitled to a refund or transfer of your booking fee. In the unlikely event of clinic cancellations due to unforeseen circumstances, your booking fee will be transferred to a future appointment.

Accessibility

We regret that we currently do not have step-free or lift access at our locations. However, we are committed to inclusivity and ensuring every client feels welcome and supported.
If you require assistance, please contact us in advance so we can try to make suitable arrangements to support your visit.

Payment Policy

Full payment for services is required on completion of treatment.
We accept cash and card payments only. We do not accept bank transers as a means of payment.

In the event that enforcement action is required to recover unpaid fees, the client will be liable for all associated costs, including (but not limited to) legal fees, court costs, and collection agency fees.

Zero-Tolerance Policy

At Ayimaa Aesthetics, we are committed to maintaining a safe, respectful, and professional environment for both clients and staff.

We have a zero-tolerance policy towards any form of abuse — verbal, written, or physical.

a) Abusive behaviour includes but is not limited to: shouting, offensive language, threats, intimidation, inappropriate messages, or physical aggression.
b) If such behaviour occurs, Ayimaa Aesthetics reserves the right to immediately cancel your appointment without refund and ask you to leave the premises.
c) Clients who engage in abusive behaviour will be permanently blocked from booking future appointments.

If your appointment is cancelled due to abusive conduct, no payments (including deposits or pre-payments) will be refunded.


This policy complies with UK business and consumer law, and Ayimaa Aesthetics reserves the right to pursue legal action if necessary to protect staff and clients.
